Board Meeting on February 19, 2011

Business

  • Don: All state fees for the year have been paid. Copies of the receipts were given to the treasurer along with the current bank statements.
  • Sherry: The group has $981.02 in checking and $15,851.12 in savings.
  • Don: We have received $50 in donations via the PayPal link on the website.
  • Don: All current board members have been added onto the corporation paperwork.
  • The Board talked about possible members to add to the Board since we are short 1 person. Kem is going to talk to several of the possible members to see if they would be interested.
  • Kem: The By-Laws exist for the Corporation but are very generic and need to be updated to be more specific.
    • Mapping out the duties of the officers.
    • Define what would happen to the corporation funds should the company decide to close.
    • Define what the goals and strategic plan (5 year plan. 10 year plan.)
    • Background checks for anyone who is involved in activities with children.
    • Perhaps create a separate financial policy to deal with the money issues.
  • The TLC has been setup as an educational organization so creating a guide that would fit into the FCAT standards. Suggestions were made to talk with several people about possibly developing these guides.
  • Ideas for income for the TLC.
    • Purchase a piece of land that could be used for pulp wood production.
    • Have classrooms or studio space on the property that could be rented out.
    • A permanent living history demo that could bring people to the site when not used for events.
      • A list of properties that presented to the Board, but after looking over list it is too early for the Corporation to be looking at purchasing land.
      • Vivat 1 and 2 CD sales
        • We need to get more online promotion of the CDs. Eric will be expanding this through the updated website and other online methods.
        • Several people were suggested who might be able to sell the CDs at some of the SCA wars. Don will be checking with these people.
        • The extra stock of these CDs will be stored with Don.
      • A status report on Vivat 3 CD was presented.
        • The ideas presented to the board at the last meeting were more than we felt were needed.
        • Rurik is still willing to work on the project in a manor similar to the other 2 Vivat CDs.
        • Ron will find out from Rurik what will be needed from the group to get the CD produced.
      • Several options for generating funds were discussed.
        • Hold a SCA style event which all profits would go to the Corporation.
        • Create a “membership” which might be able to offer a discounted rate to attendance at participating SCA events.
        • See if Trimaris would be willing to donate part of its Gulf Wars profits to the Corporation.
        • Looking into acquiring the distribution rights to some other SCA related music similar to the Vivat CDs.
        • Sherry will be looking into the rules on what kind of fundraising we can legally do.
      • Board meetings are being held twice a year now and the next meeting will be held at Sherry’s house again in August 2011.
